Our primary mission is to simplify billing, facilitate franchise administration, and provide inventory control while prioritizing the privacy and security of your data. 3. How We Use Data
We process your business and personal information under strict security protocols to provide the service. Specifically, data is utilized to:
- 1Core Services Delivery: Provide inventory management, billing calculators, franchise reporting, and custom fields.
- 2Account & Session Security: Authenticate administrators and operators, audit active logins, and keep system access verified.
- 3Communications: Dispatch transactional emails and account recovery prompts.
- 4Performance Optimization: Address system bugs and optimize application performance.
4. Data Sharing & Third Parties
At PSquare Billing, we maintain a strict policy against selling, leasing, or trading your business data. Your records are entirely your property.
Information is disclosed solely to vetted third-party service providers who assist directly in operating the app, and are bound by data processing agreements:
- Hosting providers and database environments.
- Secure file object storage services for business logos.
- Transactional email APIs.
- Legal compliance requests, only when mandated by valid court orders or legal mandates from competent authorities.
5. Data Retention
We hold your data only as long as you maintain an active account on PSquare Billing. You can manually delete records (such as items, parties, or bills) within the dashboard, with the exception of items or parties that are linked to existing bills (which cannot be deleted to preserve accurate billing history). Once a record is deleted, it is removed from active queries. Backups may persist in our systems for up to 90 days before being fully purged.
6. Security Protocols
We leverage state-of-the-art administrative, physical, and digital safeguards to keep your billing workspace secured. Our security posture includes:
Encrypted Transit
All network communication is forced over secure TLS/HTTPS channels.
Hashed Credentials
Passwords are salted and cryptographically hashed prior to reaching storage.
Note: While no system on the internet can guarantee absolute security, we systematically track security developments to protect your business databases.
In the event of a data breach affecting personal data, we will notify affected users and relevant authorities within 72 hours of becoming aware of the breach, and take reasonable steps to contain and remediate the incident as required by applicable law.
7. Your Choices
As the master administrator of your business profile, you have control over your workspace. You can review, update, or delete items, client registries, and templates using the integrated settings in the dashboard. Please note that linked records (such as items or parties that are referenced in active bills) cannot be deleted to preserve accurate billing history.
8. Account & Data Deletion
You have the absolute right to completely dissolve your account and purge all associated databases. To request permanent account erasure:
Email Deletion Request
Our support staff handles account decommissions and server-side cache resets directly.
We process data deletion requests within 30 days of receiving a valid request. Please note that legal requirements or operational compliance may oblige us to preserve billing history for mandatory regulatory periods.
9. Children's Privacy
PSquare Billing is designed exclusively for verified corporate entities and business owners. It is not structured for, nor intentionally directed to, children under the age of 13. If you believe a child has erroneously furnished us with personal data, kindly contact our team to have it promptly removed.
10. Policy Changes
